Administrative Site Secretary (Barrie Site)

This is an excellent part-time opportunity where the Administrative Site Secretary is responsible for providing administrative, secretarial, clerical and receptionist support to the Consecutive Program teaching site(s) which includes one to four full time course directors; two to six part time instructors; and 45 to 160 full time students. Some of the responsibilities include:
- Coordinates and monitors all site administrative and secretarial activities and reports all concerns appropriately;
- Acts as liaison between Dean’s Office and site offices; orders stationery and site supplies as needed;
- Coordinates and monitors activities at site(s). Sets up and maintains accurate files and records for site program(s);
- Monitors and tracks expenditures for the site’s operating budget as assigned by the Faculty’s Executive Officer (site operating budgets range between $7,500 and $20,000 depending upon relevant student cohort). Ensures all University and Faculty finance policies and procedures are adhered to. All reconciliation of cost centre expenses is conducted by budget assistants in the Dean’s Office;
- Prepares all necessary financial forms for processing of payments, such as service requests, purchase orders, deposit forms, guest lecture honorariums, reimbursement expense claims, cheque requisitions, as required by site business and/or course directors (through use of online resources as appropriate). Forwards all paperwork to Dean’s Office for approval and final signature;
- Word processes a variety of materials such as: correspondence, reports, memos, course materials, etc. for course directors;
Prepares course outlines and course materials, photocopies arranged for large print orders of course materials with external suppliers as necessary;
Arranges room bookings, audio-visual equipment, film orders, and text book orders as required;

Experience:
2 years related and recent experience (combination of administrative and secretarial) in a front-line service area with experience in the coordination of office activities.
Skills/Knowledge:
REQUIRED SKILLS:
Advanced word-processing skills (e.g. MS Word); intermediate computerized spreadsheet skills (e.g. MS Excel).

Excellent organizational ability; ability to work independently (essential); dealing courteously and effectively with people, recognizing and respecting people’s diversity and individual differences; effective oral communication skills in obtaining/providing accurate information and answering enquiries in a clear/concise manner; working effectively under the pressure of tight deadlines and competing demands; exercising tact and diplomacy ; maintaining confidentiality; ability to coordinate the activities of a small office in a professional manner; attending accurately to detail; ability to make routine decisions and exercise appropriate judgment; and, providing a consistently high level of service with a strong service orientation.
Education:
High School graduation or equivalent with some post-secondary courses in business administration preferred.
